About the Job
To support the transformation into a sustainable and well administered member-cantered organization and attainment of procurement and documentation goals.
Responsibilities
- Provide the highest standards of procurement services and advice to the team, in accordance with the strictest of internal, national, or funder procurement policy and regulations.
- Implement proper annual and quarterly procurement planning in coordination with relevant teams in order to ensure best, transparent value for-money solicitation of goods and services.
- Identify and fully understand the details of the best procurement methods and partners to be used for maximised competitive bidding process, through pre-qualification exercise or calls.
- Prepare evaluation matrix of offers/bids to determine which vendor can deliver at the best terms/lowest costs with due consideration to cost, quality, delivery time, payment terms, etc.
- Offer refresher training, clarifications, and advice on procurement procedures and practices; respond timely to queries about the status of delivery, payment and other matters raised.
- Perform a wide range of office support, for events and workshops as well as others contributing to the efficient and effective management of the administrative and procurement functions.
- Assist team with all professional administrative procedures including processing requests for travel, processing of expense claims, honoraria, stipends, imprest, supplies, etc. and
- Manage filing and archiving system of administrative/technical documents, contractual agreements, purchase orders, registers, etc. regularly.
Qualification
Three years’ experience with one year in procurement, administration, and/or grants management focused on ensuring compliance with established rules and regulations.
Bachelor’s Degree in Administration or equivalent
Ability to work with modern database management and online collaboration software.
Strong communication, organisational, and interpersonal skills
