The International Water Management institute (IWMI) hosts the international crops research institute for the semi-Arid Tropics (ICRISAT) led SERVIR West Africa phase 2 project in Accra, Ghana. IWMI seeks applications for the position of Executive Assistant to support the implementation of the SERVIR project activities. The Executive Assistant will report directly to the SERVIR West Africa Chief of Party (COP), who is posted at IWMI.

The primary responsibility of the executive Assistant is to support the COP, and also provide support to the programme management unit (PMU) (as instructed) to ensure that activity goals and objectives are accomplished, and operations run efficiently. The candidate will maintain and refine internal processes that support the programme management unit and coordinate internal and external resources to expedite the workflow; and plan and orchestrate work to ensure the COP’s priorities are met, organisational goals are achieved, and best practices are upheld.

Responsibilities/Duties

  1. Manage professional and personal scheduling for COP, including agendas, mail, calls, travel arrangements, contact management and other programme logistics.
  2. Coordinate complex scheduling and extensive Calander management as well as the management of content and flow of information to PMU
  3. Manage communication between key programme personnel, consortium members and other partners, and liaise with internal and external personal on various projects and tasks.
  4. Manage, coordinate and arrange travel and travel- related activities of COP, including hotel booking, transportation and meal coordination.
  5. Provide administrative support, such as drafting documents, creating spreadsheets, and maintaining the filing system and contact database.

Qualification & Experience

  1. A postgraduate degree in Business Administration, human resources or equivalent professional status awarded by a relevant professional institute.
  2. Four (4) years of experience is an administrative role reporting directly to senior management.
  3. Experience in overseeing budgets and expenses and developing internal processes and filing systems.
  4. Proficiency in using Microsoft Office software, with an aptitude to learn new software and system.
  5. Excellent written and verbal communication skills in English is essential. Fluency in French will be an added advantage.
